Microsoft is readying a feature that will let administrators automatically archive inactive files in OneDrive and SharePoint using retention policies in Microsoft Purview. The long-awaited capability, which appeared on the Microsoft 365 Roadmap as ID 562345, is targeted for general availability in September 2026 across GCC, GCC High, and DoD environments. It marks the first time retention policies will directly trigger archive actions for user-level files, closing a gap between compliance mandates and storage management.

What’s Actually Changing

Right now, SharePoint and OneDrive retention policies in Purview can retain or delete content, but they can’t move it to a cheaper cold tier. Archive has been a separate administrative action—often applied at the whole-site level—or left to manual processes. The upcoming update extends retention policies to include an “archive” action. When a file meets policy criteria (typically an inactivity threshold), the system can move it to Microsoft 365 Archive, a lower-cost storage tier designed for data that’s rarely accessed but must be kept.

Microsoft’s roadmap entry describes this as “retention-based file archiving.” It covers both OneDrive personal storage and SharePoint team libraries. The archive maintains the file’s compliance posture—retention labels, holds, eDiscovery discoverability—while removing it from the active collaboration surface. Once archived, the file won’t appear in day-to-day search results, won’t sync to local devices, and won’t be used by Copilot for generating responses. It remains available through archive-aware search and eDiscovery tools, and can be reactivated if needed, though with a four-month cool-down before re-archiving.

But be aware: documents that are archived won’t open in some web or mobile apps, and they won’t sync via OneDrive for macOS or older Windows clients. But careful: a label that mandates “retain as a record” might conflict with an archive action if the record is supposed to stay fully accessible. Test combinations thoroughly.

  5. Plan for client compatibility. Review Microsoft’s known issues for file archive. Plan to update Office desktop clients to the required versions, and warn macOS users about OneDrive sync limitations.
