Microsoft has begun rolling out a feature that brings archived SharePoint and OneDrive content directly into users’ search results, eliminating the guesswork that often surrounds dormant collaboration spaces. Launched in July 2025 under Roadmap ID 494999, the update ensures that files and sites moved to cold storage aren’t invisible—they’re just one search away from being reactivated.

Search Finally Sees the Archives

Microsoft 365 Archive has long been a tool for storing inactive SharePoint content in a lower-cost tier, freeing up active storage while preserving compliance and security. The catch? Employees who needed a file from an archived site had to remember exactly where it lived and ask an administrator to bring it back. That is changing.

The new search experience weaves archived results into the familiar SharePoint and OneDrive web interfaces. In OneDrive on the web, users can select an “Archived” pill to filter results. SharePoint web search includes an “Archived” option in the file-type dropdown. According to Microsoft’s documentation, both file-level and site-level archives become discoverable—as long as the searcher has the original permissions.

There’s a critical nuance, however. Finding content is not the same as opening it. If the result is a file archived individually, a user with read access can reactivate it from the search page, a process that may take up to 24 hours. If the result sits inside an archived site, only a SharePoint administrator can restore the entire site before anyone can access its contents. Microsoft’s guidance draws this line clearly: search is discovery, not a bypass of access controls.

For site-archived content, you’ll get a prompt to request restoration, which admins can link to a custom form for a ticketed workflow.

When an employee reports an archived search hit, admins can quickly determine whether the request requires a straightforward file reactivation or a full site restoration that might carry a cost. The feature also supports a custom redirect URL, so the “Request to reactivate” button on an archived site can point to your internal ticketing system. Microsoft’s documentation notes this button appears only if you set the URL tenant-wide, giving you full control over the intake process.

The Road to Searchable Archives

Microsoft introduced its Archive service to address the ballooning storage costs and clutter of never-deleted SharePoint sites. Organizations could move old project spaces into a cold tier, stripping them from active storage while retaining metadata, permissions, and compliance features. However, early adopters quickly learned that archives become black holes if employees can’t confirm that a piece of content even exists.

Roadmap entry 494999 marks the company’s response. By embedding archive awareness into the everyday search tools employees already use, Microsoft is acknowledging that retention policies must coexist with productivity. The feature arrived in worldwide standard multi-tenant clouds in July 2025, according to the roadmap, and it works hand-in-hand with existing Purview Content Search and eDiscovery.

Getting Your House in Order

A search feature that reveals long-hidden data can cause chaos if organizations don’t prepare. Here’s what to do before broadly announcing the capability:

  1. Define “inactive” precisely. A site that hasn’t been touched in six months might still be vital for annual audits. Agree on criteria like project closure, lack of ownership, and retention requirements, and communicate them to site owners.

  2. Set the reactivation redirect URL. In the SharePoint admin center, configure the -ArchiveRedirectUrl tenant setting to point to a form that captures the site URL, business reason, urgency, and cost center. This prevents ad-hoc restoration requests and ensures every reactivation is tracked.

  3. Manage file-level archiving. By default, users with edit permissions can archive files on any site where the feature is enabled. Use the -AllowFileArchive and -AllowFileArchiveOnNewSitesByDefault settings to restrict this to appropriate libraries. Without guardrails, employees may archive documents that are still in play, creating confusion when others can’t open them.

  4. Educate users on what to expect. Show employees how to toggle the Archived filter and explain the difference between file and site reactivation. Microsoft warns that some desktop and mobile apps may not clearly indicate a file’s archived state, leading to errors. Training reduces misdiagnosed support tickets.

  5. Monitor reactivation patterns. If the same sites are restored repeatedly, they aren’t truly archival. Consider moving them back to active storage or restructuring them into a knowledge base.

What’s Next for Cold Storage

Microsoft has made it clear that Archive isn’t becoming a live-access tier. But the search addition suggests a broader philosophy: archived data shouldn’t be dead data. As organizations increasingly treat SharePoint as a long-term records repository, expect tighter integrations between search, eDiscovery, and automated lifecycle policies.

For now, the ability to find forgotten files without memorizing URL structures changes the cost-benefit calculus of archiving. It’s no longer a choice between saving money and losing institutional memory.
